How MailSequence works
From sending infrastructure to a live campaign, step by step.
Set up authenticated business inboxes, prepare a verified audience, build or import the campaign, warm senders, launch conservatively, and work replies from one operating layer.

The operating workflow
Six stages from setup to managed replies.
Prepare domains and inboxes
Use the Cloudflare-based domain setup path and verify the resulting records. Then authorize mailbox synchronization and verify SMTP sending, or purchase configured business inboxes in-product.
Build the sending pool
Warm inboxes progressively, set per-inbox limits, and group eligible senders so campaign volume is distributed.
Bring the audience
Import contacts by CSV or API, verify addresses, deduplicate records, and preserve suppressions before enrollment.
Build or transfer the campaign
Create sequence steps and schedules, or begin a Smartlead or Instantly migration with a source-compatibility check.
Launch with controls
Start with conservative volume, stop follow-ups when a contact replies, and monitor sends, bounces, unsubscribes, inbox health, and domain health.
Operate the replies
Read threads, tag and assign work, draft responses with optional AI assistance, and keep campaign follow-up state synchronized.
Start from where you are
Build a new campaign or assess an existing one.
A new operation can configure infrastructure and build its first sequence. An existing team can import a stable campaign first, reconnect inboxes separately, and run a controlled transition before moving more.
Automation
Use the interface or build with the public API.
Operate in the product
Manage contacts, sequences, campaigns, inboxes, domains, replies, and analytics through the workspace interface.
Automate through the API
Use scoped keys and versioned resources for repeatable data movement and campaign operations.
React through webhooks
Send signed operational events to downstream systems, or connect agent workflows through hosted MCP.
FAQ
Frequently asked questions
What do I need before starting?
Use an owned business domain, real business inboxes or a plan to purchase them, a qualified contact source, and a willingness to warm senders and begin with conservative limits.
Can I transfer an existing campaign?
For Smartlead and Instantly, start with a read-only compatibility check using your authorized source API key. Confirm the supported campaign, lead, and block-list records before transfer; inbox credentials are connected separately.
Do I need a developer?
No. The core workflow is available through the product interface. The REST API, signed webhooks, and hosted MCP exist for teams that want deeper automation.
When can I launch the first campaign?
Launch after the domain, inbox, audience, sequence, schedule, and sending limits are ready. Increase volume gradually on new inboxes.
Does the workflow guarantee inbox placement?
No. MailSequence reduces preventable setup and operating mistakes, but domain history, audience quality, message relevance, volume, recipient behavior, and mailbox-provider filtering still matter.
Turn the workflow into a controlled first campaign.
Choose the right capacity, prepare the sending infrastructure, and launch after the audience and limits are ready.
