How to export data from Instantly

Create a migration-ready archive—not just a contacts CSV. Preserve leads, suppression state, sequence content, campaign settings, sender inventory, and the reporting baseline you will need to validate a move.

Campaign records branch into contacts, sequence, and suppression files before merging into a completed archive.
Keep exports from different data classes in separate files. A blocked or unsubscribed address must never be mistaken for a sendable lead during migration.

Complete export sequence

Leads

Use CRM → All Leads for the broadest export, or select leads inside a campaign or list. Apply filters, select the rows, then use Row actions → Download selected.

Campaign analytics

Open each campaign → Analytics. Download the report as CSV and also download the activity log when event-level history matters.

Sending accounts

Open Email Accounts, select the accounts, then use the three-dot menu → Download CSV. Treat this as inventory only; credentials do not export.

Sequence content

Use the Campaign API for sequence steps, subjects, and body copy. Also save a human-readable copy of schedules and settings for review.

Blocklist

Open Blocklist, select all entries, then Download CSV. Keep the date-added field and do not merge these records into an ordinary lead list.

Replies

Bulk Unibox reply export is not available in the interface according to the official guide. Use the Email API where eligible, or preserve critical conversations separately.

Build a usable archive

  • Create one dated folder per workspace or client.
  • Keep original CSV files unchanged; clean copies should be separate.
  • Add a text or PDF copy of each sequence, schedule, and sender assignment.
  • Store suppressions and blocklists in a clearly named restricted folder.
  • Record export time, source workspace, filters, row count, and owner.
  • Open every file and spot-check headers, encoding, dates, and custom fields.

What does not move automatically

Mailbox passwords and OAuth grants do not transfer. Advanced schedules, routing logic, tracking settings, historical engagement, and vendor-specific fields may not map one-to-one. Reconnect inboxes, verify SMTP sending, review every suppression, and launch the imported campaign as a small controlled batch.
