How to export data from Smartlead

Create a migration-ready archive—not just a contacts CSV. Preserve leads, suppression state, sequence content, campaign settings, sender inventory, and the reporting baseline you will need to validate a move.

Campaign records branch into contacts, sequence, and suppression files before merging into a completed archive.
Keep exports from different data classes in separate files. A blocked or unsubscribed address must never be mistaken for a sendable lead during migration.

Complete export sequence

Leads by campaign

Open the campaign lead list, filter by email status or lead category, then choose Download as CSV. Repeat for every active and recently completed campaign.

Inbox activity

From the campaign Inbox, filter by sequence step or activity status, then download CSV to preserve send, open, click, reply, bounce, and unsubscribe context.

Sequence content and settings

Save each sequence, schedule, sender assignment, and campaign setting separately. Lead CSV files are not a complete campaign backup.

Suppressions and blocklists

Export or document global blocklist, unsubscribed, and bounced records separately. Verify these remain suppressions after any import.

Sender and client inventory

Record connected mailboxes, client/workspace ownership, tags, and authentication state. Passwords and mailbox credentials must be reconnected, not transferred.

API archive where needed

If your plan permits API access, use it to preserve records the interface does not export cleanly. Store raw exports with timestamps and a field map.

Build a usable archive

  • Create one dated folder per workspace or client.
  • Keep original CSV files unchanged; clean copies should be separate.
  • Add a text or PDF copy of each sequence, schedule, and sender assignment.
  • Store suppressions and blocklists in a clearly named restricted folder.
  • Record export time, source workspace, filters, row count, and owner.
  • Open every file and spot-check headers, encoding, dates, and custom fields.

What does not move automatically

Mailbox passwords and OAuth grants do not transfer. Advanced schedules, routing logic, tracking settings, historical engagement, and vendor-specific fields may not map one-to-one. Reconnect inboxes, verify SMTP sending, review every suppression, and launch the imported campaign as a small controlled batch.

The interface may change. Follow the current official Smartlead export guide while you work and export before plan access ends.

FAQ

Frequently asked questions

Is a leads CSV a complete backup?

No. Preserve suppressions, sequence content, schedules, sender inventory, campaign settings, and reporting data separately.

Will mailbox credentials export?

No. Mailbox credentials and OAuth grants must be reconnected and tested in the destination platform.

Should I cancel before exporting?

No. Export and verify the archive while the account is active. Keep the current platform available until the destination campaign is stable.

Export first. Migrate second.

Preserve the safety and operating context around each campaign before testing the move.
